Gym marketing process
Our gym marketing process, step by step.
From a free 30-minute call to campaigns live within days, a first new member typically around day 5, and a numbers review at day 30. Here is exactly what happens, what we run, what you do, and what we report on: members who sign and stay, not lead counts. Typical timelines, not guarantees.
How gym marketing works with us Seven steps. No guesswork.
Every gym runs through the same seven steps, in the same order. Nothing here is a black box: you'll know what we're building, when it goes live, what your part is and which numbers we'll put in front of you. The timings are typical, not promises, and we'll be straight with you on the call about what to expect in your market.

Day 0 · 30 minutes · Google Meet
A free 30-minute qualification call
You talk to Vincent, the founder of GymPropel, on Google Meet. It's free, it takes 30 minutes and there's no card needed. We look at your members, your ad spend and where your leads are leaking today, and we check that nobody in your market already works with us, because we take one gym per market.
If we can't help your gym, we'll tell you on the call.

Setup · before launch
We build your ads, follow-up and website as one system
The three parts are built together, so there's no gap between the ad, the reply and the page someone lands on.
- Ads. Facebook and Instagram ads for gyms, aimed at people within driving distance. Where local search demand makes it worth it, we add Google ads to catch people already searching "gym near me".
- Follow-up. Automated gym lead follow-up by text, email and voicemail that reaches every enquiry within minutes, then keeps going for weeks, plus missed-call text-back so a call nobody picks up still gets a reply.
- Website. A fast, mobile-first gym website or landing page built to turn a visitor into a booked intro. It's usually yours to keep.
Your part: a short kickoff call, partner access to your ad account (it stays yours), your own ad spend, paid straight to the platform, plus minimal texting costs. We never touch your ad spend or mark it up.

Within days
Campaigns go live within days
Not months. As soon as the ads are running, the follow-up runs on its own: every enquiry gets a reply within minutes, the conversation keeps going until they book an intro, and reminders go out so the people who book actually show up. This is where most gyms lose the sale, so it's live from the first lead.
-
Typically around 5 days
Your first new member, in about 5 days
The first new member typically comes in around five days. It's the first proof the whole path works end to end: ad, enquiry, reply, booked intro, show, signed member. It's a typical figure, not a guarantee, and we'll tell you honestly on the call if your market is likely to be slower.
-
Once it's running
Typically 5–15 new members a month
Once the system is running, gyms typically see 5–15 new members a month. Vincent watches the numbers with you, from where the leads come from to how many book, show and sign, so every change is made on what actually turns into members. See what that looks like for real gyms in our gym marketing case studies.
Typical ranges, not guarantees.

Day 30
Day 30 review: stay or walk away
Your first month is free. At day 30 we review the numbers together, and you decide. Our fee in the free month is $0, with no contracts, deposits or upfront costs. You cover your own ad spend, paid straight to the platform, plus minimal texting (SMS) costs. Here's how the free gym marketing trial works in full.
Happy? Continue month to month and cancel whenever, by text, email or phone.
Not happy? Walk away and owe nothing.

Month 3 · Month 6
Retention reports at month 3 and month 6
Signing members is half the job. From month three we report how many of the people we brought in are still paying, and we check again at month six. That's the number we want to be judged on, and it's the one most agencies never show you. Our guide to gym member retention covers what keeps them.
Gym marketing reporting We count members.
A report full of leads tells you very little about your gym. Ours follows every enquiry through to the outcome that actually matters: a member who signs and stays. Each stage below is something we track and talk through with you, from the first lead to month six. When a stage is leaking, that's where the work goes next.
- 01LeadA new enquiry from your ads or website
- 02BookedAn intro set by the follow-up
- 03Showed upReminders so they actually come in
- 04SignedAn intro built to sell
- 05StayedStill paying at month 3 and month 6

Before you book Your side of the deal.
The process works best when a few things are already true. None of them are unusual, but it's fairer to say them up front than to find out in week three. We go through each one on the qualification call, and if one of them isn't there yet, we'll say so rather than take your month.
- An existing member base. You already run a gym that people like training at.
- Your own ad spend. You can fund it, paid straight to the platform and never marked up, plus minimal texting costs.
- An open market. Nobody in your market already works with us.
- Someone to meet the leads. A person who answers and runs the intros we book.
A very small gym in a tiny town? Paid ads might not be your bottleneck yet, and we'll tell you on the call. Planning your numbers first? Try the gym marketing budget calculator.
Gym marketing process FAQ Timing, answered.
Straight answers about timelines, reporting and who you'll deal with. Everything else is in the gym marketing FAQ.
What happens between the call and launch?
We build your ads, your lead follow-up and your website together as one system, then test every message on a real phone before anything goes live. Campaigns usually go live within days. Your part is a short kickoff call, funding your own ad spend (paid straight to the platform) plus minimal texting costs, and having someone ready to meet the leads.
When do the retention reports start?
From month three. That's when we report how many of the people we brought in are still paying, and we check again at month six. Booked intros, shows and sign-ups are reported from the start.
Who runs my marketing day to day?
Vincent Yu, the founder. He's the person you talk to and the person who answers for your new members. You won't be handed to an account manager.
